Terms of Use — QuickRoomFinder

1. Definitions
"Service" — the QuickRoomFinder application available at qr.kioskware.co, enabling real-time conference room availability monitoring.
"Provider" — Kioskware Sp. z o.o., registered in Warsaw, Poland, NIP: PL1133179599, REGON: 542748842, KRS: 0001195005.
"User" — any individual or legal entity using the Service.
"Administrator" — a User with administrator privileges in the organization.
"Kiosk" — a device displaying room availability information to employees.
"Subscription" — a paid licensing plan enabling use of the Service.
"License" — an access unit assigned to video terminals or kiosks.
2. Service Description
QuickRoomFinder is a SaaS platform that enables organizations to monitor and manage conference room availability in real time. The Service includes:
— an administration panel for managing devices, licenses, and configuration,
— a kiosk interface displaying room availability,
— integration with Cisco Webex, Google, and Microsoft 365 systems,
— floor plans with room navigation.
Access to Service features depends on the active licensing plan.
3. General Terms
By using the Service, you accept these Terms of Use. The Service is intended for business use only (B2B). The Provider reserves the right to modify these Terms — Users will be notified of material changes via email with 14 days' notice.
4. Account and Access
Access to the Service requires authentication via Cisco Webex OAuth 2.0, Google, or Microsoft 365. The Provider does not store User passwords.
Users are responsible for the security of their accounts and credentials. The company (tenant) owns the account. Organization administrators can manage user access, billing, and licenses.
Each organization configures the integration independently using the setup wizard.
5. Subscriptions and Billing
The Service is available on a subscription basis with a monthly billing cycle. Licenses (seats) are assigned to video terminals and kiosks and define the scope of access.
Changes to a subscription (increasing or decreasing the number of licenses) affect the billing amount. Adding licenses results in a prorated charge for the remainder of the current billing period.
Subscriptions renew automatically unless cancelled before the end of the current billing period.
6. Payments
Payments are processed by a third-party payment provider — Paddle.com Market Ltd. Billing, invoicing, and tax handling are delegated to the payment provider.
Prices are quoted in EUR or PLN (net, excluding VAT). The exact tax amount is calculated by the payment provider based on the customer's location.
7. Pricing Changes
The Provider reserves the right to change pricing with 30 days' notice. Pricing changes apply to future billing cycles. Users will be notified of pricing changes via email.
8. Cancellation
Subscriptions can be cancelled at any time via the administration panel or the Paddle customer portal. Cancellation takes effect at the end of the current billing period unless stated otherwise. After cancellation, access to the Service is maintained until the end of the paid period.
9. Trial Period
New Users may use a free 14-day trial period. The trial does not require payment details. After the trial period, a subscription purchase is required to continue using the Service.
10. Acceptable Use
Users agree to use the Service in accordance with applicable law and these Terms. The following is prohibited:
— abusing the Service or using it for unlawful purposes,
— attempting to reverse engineer, decompile, or disassemble the Service,
— interfering with the operation of the Service or circumventing security mechanisms,
— sharing credentials with unauthorized individuals,
— using the Service in a manner that infringes the rights of third parties.
11. Service Availability
The Provider makes reasonable efforts to ensure continuity of the Service but does not guarantee uninterrupted availability. Downtime may result from:
— scheduled maintenance and updates,
— infrastructure failures of external providers (e.g., cloud services),
— force majeure.
The Provider will endeavor to provide advance notice of planned downtime.
12. Limitation of Liability
The Provider is not liable for:
— outages due to maintenance or updates,
— errors resulting from incorrect integration configuration by the User,
— data loss caused by third parties or force majeure,
— business decisions made based on data presented by the Service,
— indirect damages, lost profits, or data loss.
The Provider's total liability is limited to the fees paid by the User in the preceding 12 months.
13. Data Protection
The Provider processes personal data in accordance with Regulation (EU) 2016/679 (GDPR). Detailed information about personal data processing is available in the Privacy Policy at qr.kioskware.co/privacy.
14. Security
Communication with the Service is encrypted (HTTPS/TLS). Sensitive data (Client Secret, Refresh Token) is encrypted using AES-256-GCM. The Service uses official authentication mechanisms (OAuth 2.0) and does not store user passwords.
15. Intellectual Property
The Service, its source code, user interface, logo, and the "QuickRoomFinder" name are the intellectual property of the Provider. The User receives a non-exclusive, non-transferable license to use the Service within the scope defined by the subscription.
16. Termination
The User may stop using the Service and cancel the subscription at any time. The Provider may suspend or delete a User's account in the event of a breach of these Terms. After termination, organization data is retained for 30 days before being permanently deleted.
17. Final Provisions
These Terms are governed by Polish law. Any disputes shall be resolved by the court having jurisdiction over the Provider's registered office. If any provision of these Terms is found to be invalid, the remaining provisions shall remain in full force and effect.
Matters not covered by these Terms shall be governed by applicable Polish law.
